What goes in a cleaning business introduction letter?
A cleaning business introduction letter contains five things in this order: a one-line reason you are writing to this reader, who you are and where you clean, one piece of proof (a current client, insurance, a certification), one specific request, and the easiest way to say yes. Everything else is cut.
The five-part structure
- Why them, why now. “You manage 14 buildings on the east side, and tenants change every month.” Shows you looked them up.
- Who you are. Company name, what you clean, where, since when (only if it helps). Two sentences.
- Proof. A named client in their world, your insurance limits, a bond, a certification, a Google rating with the review count.
- The ask. A 20-minute walkthrough, a place on the approved vendor list, a trial clean of one unit at a stated price.
- Reply path. Your cell number, email, and the day you will call. Then your name, signed by hand on paper.
What to leave out
- Your life story and your passion for cleaning. The reader has a problem, not a curiosity about you.
- A full service list. Attach a one-page rate sheet if you must; the letter stays short.
- Adjectives without evidence: “reliable, professional, affordable”. Replace each with a fact.
- “Please feel free to contact me at your earliest convenience.” Say when you will call instead.
A letter is one touch in a sequence. Where it fits among calls, walk-ins and referrals, and what the follow-up looks like, is covered in how to get cleaning clients for residential work and commercial cleaning contracts for offices and buildings.
Introduction letter template for property managers
Property managers care about three things: turnovers done on the day they need them, a vendor who is insured, and a price list they can approve once and use for every unit. Write the letter around those three and keep it under 200 words.
[Your letterhead: company name, phone, email, website]
[Date]
Dana Whitfield, Property Manager
Eastside Property Management
[Address]
Dear Ms. Whitfield,
Every tenant turnover on the east side needs a clean within a day or two of move-out, and most cleaners want a week’s notice. Bright Corner Cleaning holds two turnover slots open every weekday for property managers in Mesa and Gilbert, and we fill them within 24 hours of your call.
We currently clean turnovers for Sunridge Rentals (38 units) and are insured for $1 million in general liability, with a certificate available on request. Our turnover prices are flat by unit size, from a studio to a four-bedroom, so you can approve the list once.
Could I bring the rate sheet by for 15 minutes next week, or clean one upcoming vacancy at our listed price so you can judge the work? I’ll call your office on Thursday to find a time. My cell is 480-555-0142 if sooner works.
Thank you,
Maria Ortega, Owner, Bright Corner Cleaning
Adapting it
- No current property-management client yet? Use your insurance, your Google rating and review count, or a landlord you clean for.
- Enclose a one-page rate sheet by unit size. The free house cleaning price list is a good base.
- Mention the one thing managers complain about most: no-shows. A sentence like “We text you a photo report when each unit is done” is worth more than a paragraph of promises.
Templates for offices, realtors and other partners
The same five-part structure works for an office manager, a realtor or a moving company; only the reader’s problem and the ask change. Below are the paragraphs that change, so you can keep one letterhead and swap the middle.
Office manager (commercial cleaning)
Most offices on Baseline Road renew their cleaning contract once a year and only get one quote, usually from the company they already have. Brightline Cleaning cleans offices in your park in the evenings, including the Hartwell Insurance suite two doors down, and we carry $1 million in general liability plus a janitorial bond. If your agreement comes up in the next six months, I’d like to walk your space for 20 minutes and leave you a written monthly price to compare. I’ll call Tuesday morning to see if that would help.
Realtor (move-out and pre-listing cleans)
Listing photos sell homes, and a home that smells like the last owner does not. Bright Corner Cleaning does pre-listing and move-out cleans for agents in Mesa, usually within 48 hours of the call, with a flat price by home size that you can quote to sellers on the spot. We cleaned 11 listings for agents at Desert Sky Realty last year. Could I send you our agent rate sheet and a few before-and-after photos, and would it be useful to clean one upcoming listing at that price so you can see the work? I’ll follow up by phone on Thursday.
Moving company or home organizer (referral partner)
Your customers ask you for a cleaner on moving day; mine ask me for movers. I’d like to send mine to you and give yours a reason to call us. Bright Corner Cleaning offers your customers a move-out clean within two days of their move at our standard price, and we pay a $25 thank-you for each one who books. Could we talk for ten minutes this week about how to make the hand-off simple for your crews?
Email versions
For email, drop the address block, cut the letter to three short paragraphs, and put the ask in the subject line: “Second quote for your office cleaning at 2140 Baseline?” or “Turnover cleaning within 24 hours for Eastside PM”. Send it from your own name, not “info@”, and attach nothing on the first email. A link to your site or booking page does the work an attachment would, and the guide to a cleaning company website covers what that page should show.
How to send the letter and when to follow up
Send the letter by mail to a named person, in a hand-addressed envelope with a real stamp, and call five to seven days later. In our experience a printed, signed letter is more likely to be opened than an email from a stranger, and the call is where the walkthrough gets booked.
What a small campaign costs
USPS Notice 123, the current price list, puts a stamped First-Class letter up to 1 oz at $0.82 and a metered one at $0.78. Fifty letters are about $41 in postage. Add paper, envelopes and printing (a few dollars for plain stock, more for letterhead) and a 50-letter campaign to every property management company in a county costs under $75 and an evening of work. Compare that with the cost of a single paid lead and it is the cheapest B2B outreach you can do.
Sequence
- Day 0: Mail the letter. Log the date and the name in your prospect list or cleaning business CRM.
- Day 5 to 7: Call. “I sent you a note last week about turnover cleaning. Did it reach you? I’d like to bring the rate sheet by for 15 minutes.”
- Day 12: Email with the rate sheet attached as a PDF, referencing the letter and the call.
- Day 20: Drop in with a business card and a certificate of insurance. Ask for the person by name.
- Quarterly: A short, useful note. A seasonal checklist for rental turnovers or a change in your availability.
Small details that get letters read
- Hand-write the envelope and use a stamp, not a printed label and a meter mark.
- Address it to the person, with their title, spelled correctly. Call the front desk to check if you are unsure.
- Sign in blue ink. Fold once, letter facing the reader when they open it.
- Put a business card inside; the cleaning service business cards tool gives you a layout.
How to introduce your cleaning business in person and online
Introduce your cleaning business with one sentence that says what you clean, for whom and where, followed by one proof and one question. That same sentence works at a chamber mixer, at a front desk, in a Facebook group and at the top of your website.
The one-sentence introduction
Formula: “We do [service] for [who] in [where], and [proof].”
- “We do recurring house cleaning for busy families in Gilbert, and most of our clients have been with us over a year.”
- “We clean dental and medical offices in the East Valley at night, and we’re the second quote for four practices on Val Vista right now.”
- “We turn over Airbnb units in downtown Phoenix between checkout and check-in, same day, with photo reports.”
Examples by setting
| Setting | Example |
|---|---|
| Networking event | “I run Bright Corner Cleaning. We do recurring house cleaning in Gilbert and Mesa. What do you do, and who cleans your office?” |
| Front desk walk-in | “Hi, I’m Maria with Brightline. We clean offices in this park after hours. Who handles your cleaning contract, and can I leave this for them?” |
| Local Facebook group (when asked for a recommendation) | “Owner here. Bright Corner Cleaning, Gilbert and Mesa, every other week or one-time deep cleans. Insured, photo-checked every visit. Happy to send a price if you message me the home size.” |
| Voicemail | “Maria, Bright Corner Cleaning in Gilbert. Jen Alvarez suggested I call about every-other-week cleaning. I’ll text you a price range and two openings.” |
Notice that every example ends with a question or a next step. An introduction that ends with “let me know if you ever need anything” leaves the work to the other person, and they will not do it.
Cleaning business bio examples for profiles
A cleaning business bio is 30 to 50 words that fit a Google profile snippet, an Instagram bio, a Nextdoor page or a directory listing: what you clean, where, one proof, and how to book. Write one master bio and trim it per platform.
Residential, recurring
Bright Corner Cleaning: recurring and deep house cleaning in Gilbert, Mesa and Chandler. Same two cleaners every visit, insured, photo-checked. 180+ five-star Google reviews. Book online in two minutes or text 480-555-0142 for a price.
Commercial
Brightline Cleaning: evening janitorial service for offices, clinics and showrooms in the East Valley. Insured and bonded, background-checked crews, a written checklist signed off every night. Ask for a walkthrough and a monthly price.
Airbnb and short-term rental
Turnover cleaning for Airbnb and VRBO hosts in downtown Phoenix. Same-day turns between checkout and check-in, restocking, photo report after every clean. Serving 22 units for 9 hosts. Message for availability.
Solo owner-operator
I’m Maria, and I clean homes in Queen Creek myself, every other week, the same way each time. Insured, 6 years in, references on request. Three openings this month. Text me and I’ll send a price for your home size.
Instagram and TikTok (one or two lines)
House cleaning, Gilbert + Mesa. Same team every visit. Before/afters below. Book at the link.
Use real numbers only. “180+ reviews” and “22 units” are checkable; “hundreds of happy clients” is not, and readers know the difference.
Cleaning business description examples (100 to 200 words)
A cleaning business description is the longer “about” text on your Google Business Profile, your website and directories: 100 to 200 words covering services, area, how you work, proof and the next step. On Google it has rules of its own, so write the Google version first and expand it elsewhere.
Google’s rules
Google’s guidelines for representing your business say the business description should describe services, products, mission and history, be honest and relevant, and must not focus on special promotions, prices or sales, include links, or contain gibberish or gimmicky characters. So keep “$99 first clean” out of the description and put it in a post or an offer instead.
Residential example (Google version, about 140 words)
Bright Corner Cleaning is a family-owned house cleaning company serving Gilbert, Mesa and Chandler since 2021. We clean homes on a recurring weekly, every-other-week or monthly schedule, and we do one-time deep cleans and move-out cleans. Every client gets the same two cleaners each visit, a 47-point checklist completed in our app, and a photo summary when we leave. We bring our own supplies, including fragrance-free options on request. All cleaners are background-checked and the company is insured. Clients can book, reschedule and pay online, and we confirm every visit by text the day before. If a room is not right, tell us within 24 hours and we return to fix it at no charge. We are rated 4.9 on Google from more than 180 reviews.
Commercial example (about 120 words)
Brightline Cleaning provides evening janitorial service for offices, medical and dental practices, showrooms and small industrial spaces across the East Valley. Crews work after hours on a schedule you set, from once a week to nightly, following a written scope that we sign off each visit. Services include restrooms, break rooms, floors, trash and recycling, glass and dusting, with carpet extraction and hard-floor care available on a quarterly schedule. Brightline is insured and bonded, all staff are background-checked, and a supervisor inspects every site monthly. Contracts run month to month after an initial term. Request a walkthrough and you will receive a written monthly price within two business days.
Make it yours
- Swap in your real services, area and numbers. Delete any sentence you cannot back up.
- Mention what makes a client’s life easier (same team, text confirmations, online booking), not what makes you proud.
- Reuse the description on Yelp, Nextdoor and your site, and keep the name, address and phone identical everywhere, which also helps your local ranking. The guide to SEO for cleaning companies explains why.
- If you want a tagline above the description, pick one from the cleaning slogans list or write your own in 20 minutes.
Mistakes that get introduction letters thrown away
Letters get thrown away when they are generic, long, unsigned or make an ask the reader cannot act on. Each mistake below is common and each has a cheap fix.
| Mistake | Fix |
|---|---|
| “To whom it may concern” | Call the office and get the name and title. If you cannot, do not send the letter yet. |
| Opening with your history | Open with the reader’s problem. Your history goes in sentence three, if at all. |
| A full page of services | One sentence of services, one page of letter. Attach a rate sheet if the reader needs detail. |
| No specific ask | Name the next step: a 15-minute visit, one trial unit, a spot on the vendor list. |
| Claims you cannot prove | Replace “best in town” with a review count, a client name, an insurance limit. |
| Typos in the company’s or reader’s name | Read it aloud once; have someone else read it once. |
| No follow-up | Write the call date in the letter, then keep it. The call is the point. |
When the reply comes, be ready to quote. A booking page that gives a price by home size, or a saved commercial quote you can send the same day, turns a polite reply into a scheduled job. Broombook’s booking page and quotes are built for exactly that hand-off; see features for what it covers.
