What does cleaning quote software do?

It replaces the price you work out in your head with a price list the software applies for you. You decide once what a bedroom, a bathroom, a bigger home, a deep clean and an inside-the-oven add-on are worth. After that, every quote follows the same rules, whether the client asks at 7 a.m. on your website or you book them yourself from a phone call.

For a residential cleaning business that matters for three reasons. Clients who ask for a price and do not get one quickly tend to book someone else. Two clients with the same home who hear two different prices will eventually compare notes. And a price that is not tied to how long the job takes is how you end up with a crew running two hours late on a Friday.

Good cleaning estimate software therefore does two jobs at once: it gives a price the client can trust, and it gives you a visit length you can schedule. If you searched for cleaning bid software for residential work, this is the part that counts. Homes are priced from their rooms and size, not bid one by one like an office building.

Instant quotes, walkthroughs or written estimates: which should you use?

Most cleaning businesses use all three, for different jobs. Here is how we would split them:

  • Instant quote: best for standard recurring cleans, Airbnb turnovers and most deep cleans and move-outs of ordinary homes. The client gets a price in a minute, and you do no unpaid driving. The risk is a home that is far dirtier or bigger than described, which a minimum visit charge, clear add-ons and your right to adjust after the first visit cover.
  • Walkthrough estimate: worth it for very large or unusual homes, hoarding or post-construction cleans, and anything where the condition is the whole question. It costs you a trip, so save it for jobs where the price could swing a lot.
  • Written estimate: useful when a client (or a property manager) wants something on paper before they say yes, or when you quote a one-off job by email. Our free cleaning estimate template gives you a clean printable version.

How BroomBook builds a price

Your price list lives on the Pricing page. Each part below is set by you, and every part is optional except the home-size price:

  • Home size: a base price plus an amount per bedroom and per bathroom. Half baths count half.
  • Size brackets by square feet: each bracket adds its own dollars and its own minutes. Add or remove brackets, and give a bracket a flat price and length per service if you quote that way.
  • Type of clean: each service multiplies the home-size price. The starter list uses ×1.6 for a deep clean, ×1.9 for a move-in or move-out and ×0.9 for an Airbnb turnover. A service can be offered online to returning clients only.
  • Recurring discounts: a percentage for weekly, every 2 weeks, every 4 weeks and monthly visits (the starter list uses 20%, 15%, 10% and 10%). They apply to standard cleans and turnovers; deep cleans and move-outs are always one-time.
  • Add-ons: inside the fridge, oven or cabinets, windows, laundry, baseboards or anything you add, each with its price and extra minutes, offered only with the services you choose and priced by home size if bigger homes cost more.
  • A minimum visit ($120 on the starter list), so a tiny home never books below what a trip is worth to you.
  • Cents or round dollars: prices round to the dollar after a multiplier or discount, unless you untick that to keep exact cents.
  • Travel fees by distance from your office, shown to the client with their price, and a service area that turns away addresses you do not cover.
  • Optional sales tax (Canadian province presets or a US rate), added at checkout and on card charges. The booking page says prices are before tax.
  • Optional deposits, charged when you confirm a booking and counted toward the visit, plus late-cancellation and no-show fees clients see before they book.

A worked example: one home, two quotes

Every new BroomBook account starts with a starter price list you then change. With it, a 3-bedroom, 2-bathroom home of 1,800 sq ft is $90 base, plus 3 × $20 for bedrooms, 2 × $25 for bathrooms and $20 for the up to 2,000 sq ft bracket: $220.

As a standard clean (×1) every 2 weeks with the inside of the oven, that is $220 plus $35 for the oven: $255. The 15% recurring discount takes off $38, so the client pays $217 a visit. The time is 4 h 15 min of crew time, so about 2 h 8 min on site with two cleaners.

The same home as a one-time deep clean is $220 × 1.6 = $352, plus the oven: $387, with no recurring discount, and 6 h 15 min of crew time (about 3 h 8 min with two cleaners). The Pricing page shows this math live on an example home under "How a price is built", and it changes as you edit.

Getting the home details right: address lookup and room photos

A quote is only as good as the bedrooms, bathrooms and square feet behind it. In the US, a client can type their address on the booking form and press a button to fill in beds, baths and square feet from public property records. They can still correct the numbers, and the price follows.

Clients can also add up to four room photos. An AI looks at buildup and the areas that need special work, then suggests a service (say, a deep clean for the first visit) and add-ons from your own list, with a short note in English or French. The note never quotes a price. The client taps to switch service or add an extra, and sees the new price before booking. The photos are used for the suggestion and not stored.

If a home turns out to be bigger than booked, open the visit and change what is booked (service, add-ons or home size). The new price shows next to the old one before you save, so you can decide whether to charge the difference.

Where the quote shows up

The same pricing appears in every place a visit is priced, so you never keep a second price sheet:

  • Your booking page and the widget on your own website: clients see the price update as they answer, with any recurring saving and travel fee. This is the instant cleaning quote most clients use.
  • Your New job form: pick the client and home, the service and how often, and the price fills in. Type an override for a special price or a longer visit when you need one.
  • Your crew’s app, if you let a cleaner book visits for clients they already clean for.
  • The Pricing page: "How a price is built" shows the formula on an example home, and "What clients will see" prices sample homes for every service before you press Save pricing. Nothing on your booking page changes until you save.
  • A guided tour walks you through the Pricing page the first time, and the Help button replays it.

How the quote sets time on your calendar

Every quote carries a length in crew-minutes: a base, minutes per bedroom and per bathroom, the size bracket’s minutes, the type of clean’s multiplier and each add-on’s minutes. Two cleaners take half the time on site, and the calendar shows the visit at that length.

Online, a time slot is offered only when a cleaner who does that service is free for the whole visit, inside your hours, with drive time kept free between visits. When a booking comes in, BroomBook prices it again from your saved price list and checks the slot again, so an old open tab cannot book at last month’s price or into a gap that has since filled.

When you book by hand, you see who is free, plus warnings for double bookings and gaps too short to drive. You can save anyway if you know better. When another quoting tool fits better

  • You mainly bid commercial janitorial contracts by cleanable square feet and production rates. Our price list is built for homes. Work those bids out with our commercial cleaning calculator or use a tool made for bid management.
  • You send formal proposals: line-item quotes as PDFs, emailed to the client, approved with an e-signature. BroomBook does none of that. The client sees their price on your booking page or hears it from you. (Clients can sign your company policies from their own link, but that is not a quote approval.)   • You want a sales pipeline that tracks open quotes and sends follow-ups until the client says yes. BroomBook has no quote stages or automatic quote follow-ups; online bookings arrive as requests you confirm or decline.
