You can run a small cleaning business on free software, with limits. The free tools that hold up best are Google Calendar with Forms and Sheets (free with a personal Google Account, one booking page), Square Appointments Free ($0 a month, online booking with text and email reminders, fees per card payment), Setmore Free (up to 4 users, email reminders only) and Wave Starter for free invoices. Jobber, Housecall Pro and ZenMaid have no free plan, but each has a 14-day free trial.
What none of the free plans does is the cleaning-specific work: recurring cleans with skips, prices by home size, access notes for the crew, checklists and tip splits. Every free-plan limit below comes from the vendor’s own pricing page, checked on October 5, 2026 and linked under Sources. We make BroomBook, which is not free: it has a 14-day free trial with no credit card, then costs $29/mo for up to 2 cleaners or $59/mo for unlimited cleaners. We say plainly below when free is enough.

Free tools for a cleaning business, and the catch with each
1Google Calendar, Forms and Sheets
Google’s free consumer apps come with a personal Google Account. Calendar handles repeating events, and when you change one you choose which visits in the series the change applies to. A personal account can create one booking page; more booking pages, Stripe payments, booker email checks and automatic email reminders need a paid Google One or Workspace plan. A Form can collect a new client’s address, home size and access notes into a Sheet, but you work out the price and copy the details into each visit yourself.
Best for: A solo cleaner with a short list of regular clients who book and reschedule by text.
2Square Appointments Free
$0 a month per location for solo professionals, with unlimited staff calendars, an online booking site you can embed on your website, text and email appointment reminders, deposits and prepayments, and invoices. You pay per payment: 2.6% + 15¢ tapped or swiped, 3.3% + 30¢ online, and 3.5% + 15¢ keyed in or charged to a card on file. Cancellation and no-show fees, a waitlist, Google Calendar sync, appointment confirmations, timecards and tip pooling start on Plus, at $49 a month per location.
Best for: Owners who want a free booking page with reminders and already take cards with Square.
3Setmore Free
$0 for up to 4 users, with unlimited appointments, a branded booking page, email confirmations and an email reminder, online and in-person payments through Square, Stripe or PayPal, customer notes and iOS and Android apps. Text reminders, more than one reminder, recurring appointments, two-way calendar sync and deposits are on Pro, at $5 per user a month billed annually.
Best for: A team of up to 4 that wants clients to book one-off cleans online.
4Calendly Free
Always free, with one event type, one calendar connection and a customizable booking page for one-on-one meetings. Automated reminders and Stripe or PayPal payments start on Standard, at $10 per seat a month billed yearly.
Best for: Booking estimate calls or walk-throughs, rather than the cleans themselves.
5Zoho Bookings Free
Free forever for one user, with email notifications and reminders and two-way calendar sync with Zoho, Google and Microsoft 365 or Outlook.com.
Best for: A solo owner who wants email reminders and a booking page that checks their own calendar.
6Wave Starter
$0 for unlimited estimates, invoices, bills and bookkeeping records, with card payments at 2.9% + $0.60 per transaction (3.4% + $0.60 for American Express). Automatic bank imports, receipt capture and automatic late-payment reminders are on Pro, at $19 a month.
Best for: Free invoices and bookkeeping next to whatever you schedule with.
7Free trials: Jobber, Housecall Pro and ZenMaid
None of the three lists a free plan, but each offers 14 days free. Jobber’s trial is the Grow plan with no credit card, Housecall Pro’s is the Max plan with no credit card, and ZenMaid offers 14 days on its plans. After the trial, month to month, Jobber Core is $49/mo, Housecall Pro Basic is $79/mo and ZenMaid Starter is $19/mo plus $4 per cleaner.
Best for: Testing full cleaning or field-service software with your real clients before you pay.

Best for: Owners whose free setup now costs them more hours than $29 or $59 a month is worth.
Can you run a cleaning business on free software?
Yes, while you are small. A workable free setup is Square Appointments Free or Setmore Free for online booking and reminders, Google Calendar for the schedule, a Google Form and a Sheet for client details and your price list, and Wave Starter for invoices. That costs $0 a month, plus card fees on what you collect.
It works best for an owner who cleans alone, has regular clients on fixed days, and gets most changes by text. The more clients, cleaners and changes you have, the more of the work moves from the software to you.
What free tools can’t do for a cleaning business
Recurring cleans with skips. Google Calendar repeats an event and lets you change one visit, but telling the client, offering another day and keeping the price right are on you. Setmore keeps recurring appointments for Pro, and Square’s plan comparison does not list them.
Prices by home size. None of the free plans we checked lists pricing by bedrooms, bathrooms, square feet and frequency. You set one price per service, or quote each home by phone.
Property access notes. Lockbox codes, alarm codes, pets and parking end up in event descriptions, a Sheet or your texts, and you decide by hand who sees them and when.
Crew checklists and clock-in. None of the free plans lists room-by-room cleaning checklists. Square’s timecards and tip pooling start on Plus at $49 a month per location.
Tip splits and pay. Splitting a tip across a two-person crew and adding up hours for pay is a spreadsheet job on every free setup we found.
The hidden cost of free: your hours
Free software moves the work to you. Here is an example in which every number is an assumption, not a measurement: a solo owner with 20 visits a week and one part-time helper.
Texting each client a reminder the day before: 20 texts at 1 minute each = 20 minutes a week. Moving skipped or rescheduled visits and telling the client: 5 changes at 5 minutes = 25 minutes. Pricing new inquiries by text or phone: 3 at 10 minutes = 30 minutes. Sending the helper the next day’s addresses, access notes and codes: 5 days at 5 minutes = 25 minutes. Adding up hours and tips for pay: 20 minutes.
Total: 20 + 25 + 30 + 25 + 20 = 120 minutes, or 2 hours a week. Over a month that is 2 × 52 ÷ 12 = 8.7 hours. If an hour of your time is worth $30 (another assumption, so use your own rate), that is about $260 a month of admin.
Software will not remove all of it. But at that rate, saving one hour a month already covers a $29 plan. Do the same sum with your own numbers before you decide free is cheaper.
When to start paying for cleaning business software
When you hire your first cleaner. Someone else now needs the address, access notes, alarm code and checklist each morning, and you need their hours and tips for pay.
When a missed reminder costs you a clean. One lockout, or one client who forgot, can cost more than a month of software.
When recurring clients start skipping and moving visits, and keeping each series straight takes real time every week.
When you want new clients to book and pay online with a real price instead of waiting for a quote.
When admin passes an hour or two a week. Run the sum in the section above with your own numbers.
How to use a cleaning business software free trial well
Jobber, Housecall Pro, ZenMaid and BroomBook all offer 14 days free. Jobber and Housecall Pro say no credit card is required, and so do we; ZenMaid’s pricing page does not say either way.
Start the trial on a week you can spare an evening. Enter 5 to 10 real clients with their homes, set up their recurring schedule, skip one visit, move another, book a test clean on your own booking page as a client would, and send a cleaner their next day. If those steps feel slow in the trial, they will feel slower in month six.
BroomBook’s trial is 14 days with no credit card and every feature on, so nothing is charged when it ends unless you add a card. You can import your clients from a spreadsheet and past and upcoming visits from a Google Calendar export, and nobody is texted during the import.
When free software is genuinely enough
No tool is right for everyone. Pick them instead of us if:
- You clean alone, your clients are regulars on fixed days, and they book and reschedule by text.
- You are still testing the business and have only a few paying clients. Spend on insurance and supplies first.
- You mostly need clients to book a time online and get a reminder: Square Appointments Free or Setmore Free does that for $0 a month.
- You need invoices and bookkeeping more than scheduling: Wave Starter is free.
- You only book estimate walk-throughs online and handle the cleans yourself: Calendly Free or Zoho Bookings Free is enough.

Free tools are a sensible way to start. Google Calendar, Square Appointments Free or Setmore Free, and Wave Starter can run a one-person cleaning business for $0 a month plus card fees, and you should use them until they cost you more time than they save.
That point usually arrives with your first hire or your first busy month of recurring clients. When it does, try BroomBook free for 14 days with no credit card, bring your Google Calendar visits with you, and see whether $29 or $59 a month buys back more than it costs.
